📄 Privacy Policy – Western Alliance Logistics Outlook Extension

The Western Alliance Logistics Outlook Extension is an internal productivity tool designed exclusively for use by authorized personnel of Western Alliance Logistics (WAL). This extension integrates securely with our internal platform, WALHQ, located at https://app-v2.westernalliancelogistics.com.

1. User Authentication

All users are authenticated using Microsoft Entra ID (formerly Azure Active Directory). No personal or third-party authentication mechanisms are used.

2. Purpose of the Extension

This extension enables users to:

• Create new shipment quotes directly from Outlook
• Automatically link emails to quote records in WALHQ
• Accelerate communication workflows by allowing users to reply to clients with relevant quote information from within WALHQ

3. Data Collection and Use

The extension does not collect or store any personal data outside the WAL system.

All data accessed or submitted through the extension:

• Is created or input by the user
• Is stored exclusively in WALHQ systems
• Reflects information already managed within the WALHQ platform

4. Email Access and Linking

The extension can read the subject, sender, and thread ID of emails for the sole purpose of linking quotes to specific client messages.

• No message content is stored outside of the user's Microsoft 365 account.
• This linking is internal and used only within the WAL ecosystem to streamline quoting and response workflows.

5. Security and Compliance

• All data transmission is encrypted via HTTPS.
• Role-based access controls are enforced through Microsoft Entra ID.
• No data is shared with third-party vendors or services.

6. Changes to This Policy

Internal users will be notified of any updates to this policy via official company channels. Use of the extension constitutes acceptance of the current policy.
